An AI-assisted quote builder can turn an enquiry into a draft for your team to check. Its useful role is preparing the detail: what the customer asked for, which information is missing and which approved services may fit.
The person responsible for pricing approves the commercial quote before it is sent. A generated estimate should be clearly labelled and should not quietly become a price commitment.
Start with approved prices and rules
Use a maintained price list, agreed calculation rules and current service descriptions. Calculate quantities, totals and tax in tested software. AI can help interpret a request or draft an explanation, but it should not invent rates, discounts or terms.
If the information is incomplete, show the missing item. A plausible assumption about materials or labour can make a draft look finished while leaving the price wrong.
Keep the first workflow narrow
For example, a service business could collect the customer's requirements, match them to approved service options and prepare a draft with assumptions highlighted. The estimator reviews the options, adjusts the work and approves the price.
The software can then prepare the approved document for sending. Sending permission should be a deliberate part of the workflow, with a record of what was approved and by whom.
These are possible uses of AI workflows, rather than a ready-made quote product that fits every industry.
Show the source of the estimate
Keep the enquiry and the price-list version beside the draft. Let the reviewer see how each line was calculated and which parts came from the customer's request.
A search over previous quotes may help find relevant examples, but an old quote is not automatically a current price. Check what changed before reusing it. Restrict access so one customer's confidential details cannot appear in another customer's document.
Test the awkward cases
Try incomplete requests, unusual quantities, unavailable services and requests for discounts. Check repeated submissions too, so retrying a failed step does not send the customer duplicate quotes.
Compare drafting and review time with the existing process. Count corrections and missing information as well as speed. Faster drafts do not by themselves prove an increase in sales.
Agree who maintains it
Name the person who updates prices and the person who investigates failed or unexpected results. If a cloud AI service receives enquiry details, agree what is sent, where it is processed and how long it is kept before using real customer data.
Our project process starts by understanding the existing job and agreeing the next useful step. For quoting, that means making the route from enquiry to approved price clear before automating it.
